Notification Rules

Notify the right people at the right moment using flexible rules. Each rule decides when to send, who to notify, and, for conversation-end rules, whether the chat stays in your inbox for follow-up.

How to get there: Go to Setup → AI agent in the top menu → click your chatbot → Notifications tab.

Overview

Rules can run at one of two moments:

  • When form is submitted sends immediately after a visitor completes the selected form. Choose one form or Any form.
  • When chat ends evaluates checks after the conversation is finished.

Rules are independent. A single conversation can trigger more than one rule.

If at least one conversation-end rule exists, a chat that matches none of those rules is auto-closed. You can still find it under Inbox → Filters → Closed. If there are no conversation-end rules, ended chats stay in your inbox.

This replaces the old "Send to You" dropdown, which forced a single global choice. With rules you can, for example, email sales when a lead is captured, ping Slack when the AI struggles, and webhook every chat to your CRM, all in the same bot.

Prerequisites

  • Enable Transcripts must be on for conversation-end rules. Immediate form rules run when the form is submitted and do not wait for transcript processing.
  • Send to Customer is a separate toggle: it emails the transcript to the visitor and adds an "Email me this conversation" item to the widget menu. It is not affected by rules.

Adding a Rule

Click Add rule to start blank, or pick a template to prefill checks and recipients. Common templates:

  • Email me every lead sends immediately when a form is submitted.
  • Copy every chat to a webhook sends the conversation after it ends, without inbox clutter.
  • Ping Slack when bot needs help sends after the chat ends when the AI escalates or has low confidence.
  • Route chats from /pricing to sales sends after the chat ends when its URL matches your pattern.
  • AI-driven templates use a check such as "route finance questions to the bookkeeper" or "B2B leads go to sales".

Templates are starting points. You can add, remove, or edit any check or recipient after inserting.

Checks for Conversation-End Rules

Add one or more checks per rule. With two or more checks, choose:

  • ALL (AND) — every check must match
  • ANY (OR) — one match is enough

Zero checks means the rule fires on every closed chat. Immediate form rules use the selected form instead of these checks.

Structural Checks

These are computed from the chat itself, no AI evaluation, no extra cost.

AI Check

Describe a condition in plain language and AI evaluates it against the transcript. Examples:

  • "The visitor represents a business, not a private consumer"
  • "The visitor mentioned a budget or timeline"
  • "The visitor is asking about a competitor comparison"

Each AI check costs a small amount of AI credit per closed chat, so use it when structural checks alone can't capture the intent. One AI check per rule is common; adding two is fine but doubles the credit cost per chat.

Recipients: Who Gets Notified

A conversation-end rule can use any combination of the four recipient types, or none at all. Immediate form rules support email, Slack, and webhook recipients.

Recipient What happens
Email Sends the transcript to any email address (yours, a colleague, a shared mailbox, a distribution list). Add multiple email recipients on the same rule if you want a group to see it.
Chat agent Sends the transcript to the agent's account email and auto-assigns the reopened thread to their inbox queue. Pick this over a plain email whenever a specific person owns the reply. The agent must be added under Chat Agents first.
Slack Posts a short summary with a link to the full transcript to the Slack channel. Uses an Incoming Webhook, configured once per bot.
Webhook Sends the conversation data to a URL you choose. Common for connecting to your CRM, Zapier, or Make. See webhooks for details.

Auto-Assignment via Chat Agent

The Chat agent recipient does two things that a plain email doesn't:

  1. Delivers the transcript to the agent's account email
  2. Assigns the reopened thread to that agent in the inbox, so it appears in their "assigned to me" queue

If multiple rules on the same chat pick different chat agents, the first agent to be assigned wins; later chat-agent recipients still get the transcript email but the assignment isn't overwritten.

Inbox Follow-up Toggle for Conversation-End Rules

Each rule has an Add to my inbox for follow-up checkbox:

  • On — matching chats stay in your inbox as open threads, ready for a human reply
  • Off — the chat sends its notifications and then auto-closes silently

Use "off" for archival or CRM-sync rules where you don't want the inbox to fill up with routine chats.

If a chat matches multiple rules, "on" wins: any single rule with the toggle on keeps the thread visible.

Email Content Options

Per rule, expand Email content options to customize what email recipients see:

  • Subject — override the default subject line (supports variables like the visitor's name)
  • Include full transcript — the full message-by-message conversation. Turn off for a summary-only email.
  • Include customer info — captured email, name, phone, or other lead fields
  • Show "Reply to conversation" button — one-click link back into the inbox to continue the thread
  • Show "Review AI performance" link adds the analytics link to conversation-end emails. It is not shown for immediate form emails because analysis happens after the chat ends.

These options only affect email recipients. Slack and webhook notifications are unchanged.

Reordering and Deleting

  • Reorder — drag rules by the grip handle on the left. Order is cosmetic (all rules always evaluate) but keeps the list readable.
  • Delete removes a notification rule immediately.
  • A form cannot be deleted while a notification rule uses it. Remove or change that rule first.

Example Setups

Solo founder handling everything

Two rules:

  1. When form is submitted sends an email immediately.
  2. When chat ends and AI couldn't fully answer sends an email and keeps the chat in the inbox.

Result: you get notified on real leads and on struggling chats, routine handled-well chats close silently.

Small team with a sales / support split

Three rules:

  1. When chat ends, if the URL matches */pricing* or an AI check identifies a purchase evaluation, notify the senior sales agent and keep the chat in the inbox.
  2. When chat ends, if the AI escalated to a human, notify the on-duty support agent and keep the chat in the inbox.
  3. When chat ends, with no checks, send every conversation to the CRM webhook without keeping it in the inbox.

Result: sales and support each see the chats they care about, CRM gets everything, the inbox stays focused.

Agency running many bots

Two rules per bot:

  1. When chat ends, send every conversation to the central data warehouse webhook without keeping it in the inbox.
  2. When form is submitted, email the client's contact and notify Slack #client-name immediately.

Result: the agency gets full data, the client sees only their leads.

Tips

  • Start with a template, then customize. Templates cover 80% of common setups.
  • Structural checks are free. Prefer them over AI checks when the same condition can be expressed with lead-form / URL / message-count checks.
  • Use "Chat agent" instead of email + manual assignment. One click, no follow-up work.
  • Turn off the inbox toggle for archival / CRM-sync rules. Keeps the inbox focused on chats that actually need a human.
  • A chat with no matching conversation-end rule is not lost. If conversation-end rules exist, it is closed and remains searchable under Inbox → Filters → Closed. If none exist, it stays in the inbox.
