Follow-up Settings

Configure how Boei schedules and generates AI follow-ups for deals on this website. Each website has its own cadence, so a busy sales site and a quiet support site can run at different paces.

How to get there: Go to Setup → Business in the top menu → click a website → open the Deals tab.

Follow-up Schedule

Under Deals → Follow-up Schedule, you control when and how often Boei follows up on a deal that has a follow-up date set.

Max follow-ups per deal

The number of follow-ups Boei will send for a single deal before stopping. The final follow-up automatically uses a breakup tone (a polite last check-in) so you're not chasing forever.

  • Default: 3
  • Range: 1 to 10

Days between follow-ups

How many days Boei waits after one follow-up before scheduling the next.

  • Default: 3
  • Range: 1 to 14
  • Best results are usually 3-5 days.

Send time

The local time of day follow-ups go out. Boei uses your website's time zone (see below) to convert this to UTC.

  • Default: 09:00
  • Best window: 9:30-11:30 AM in the recipient's time zone.

Working days

The weekdays follow-ups are allowed to send on. If a scheduled send falls on a non-working day, Boei rolls it forward to the next working day.

  • Default: Monday through Friday
  • Tuesday-Thursday tends to get the best reply rates.
  • At least one day must stay selected.

Time zone

The follow-up schedule uses the time zone set on the website itself, not a separate field on this tab. If it says "Not set (uses UTC)", click through to Profile to change it.

Boei tries to guess the time zone from your website's country when the site is first added, but you can always override it in Domain Settings.

AI Instructions

Under Deals → AI Instructions, you can guide the AI when it drafts a follow-up.

Use this to describe your sales approach, what to offer in each round of follow-up, and the language or tone you want. The AI also has access to your chatbot's business description and the full conversation history with the contact, so keep these instructions focused on things it can't infer.

Example:

First follow-up: friendly check-in, see if they still need help.
Second follow-up: address a common question or objection.
Final follow-up: friendly close, let them know you are here when ready.
Match the language of the original conversation. Keep it short, warm, human.

Leaving this blank is fine; the AI will fall back on the chatbot's normal tone and business context.

When These Settings Apply

  • Individual follow-ups you send from a deal detail page (see Managing Deals) use the AI instructions and, when auto-scheduling the next follow-up date, the interval and working-days rules.
  • Bulk follow-ups on the Bulk Follow-ups page use the same rules.
  • Automated reminders that email you about overdue deals use the send time, working days, and time zone to decide when to notify.
  • Email reminder frequency for yourself lives on your personal profile, not on the website. Go to Account → Profile to choose between daily, weekly, or off.
